Terms and Conditions


TIPS FOR TRAVELLERS

COMFORT STOPS: We stop every 2 ½ - 3 hours to stretch your legs, have a meal when appropriate, or just get some fresh air. As there is no smoking on the coach, this can also serve as an opportunity for smokers. Our healthy approach to comfort stops is to offer complimentary water & snacks. 

DOCUMENTS: Upon receipt of full payment for a daytrip, a receipt is generated indicating your pick-up time & location.  Theatre & event tickets are not mailed, rather distributed on the motor coach. Upon receipt of your final payment for a tour, a receipt is generated. Three weeks prior to departure an itinerary is sent with contact details for hotels, departure & return information & an emergency contact.

EXPRESS PICK-UPS:  There are certain pickup points that are almost always used. Depending on the destination, some tours have pick up points east or west of Kitchener-Waterloo along Highway 401 while others pick up in communities along the QEW. For groups of 10 or more, please call our office to discuss these special arrangements.

GRATUITIES: Tips to waiters, taxi drivers, step-on guides, tour directors and drivers are a tangible way for you to show your appreciation. This practice, though customary, is voluntary, and is not included in the tour price, and is best handled on a personal basis. We suggest the following:

  • Waiters – Between 15-20% of your bill (before tax) • Tour Directors – Between $5 and $7 per person per day • Local Step on Guides – Between $3 and $4 per person per day • Drivers – Between $5 and $7 per person per day

INSURANCE: Although not mandatory, it is highly recommended. Trip cancellation insurance protects the investment you’ve made in your trip from the time you pay until you’ve departed, a period during which your payment is non-refundable. Travel medical insurance pays for emergency services while you are away from home and provides much needed emergency medical assistance while out of the province. 

LUGGAGE ALLOWANCE: The allowance is one large suitcase, and one carry-on bag per person. 

SENSITIVITY TO FRAGRANCES: Refrain from wearing cologne or perfume in the motor coach.

SMOKING: There is no smoking on the coach, and many hotels are moving to 100% smoke free. We CAN NOT transport marijuana or cannabis on the motor coach, even within Ontario or Canada.

SPECIAL REQUESTS: Special requests made at the time of booking will be forwarded to the appropriate hotel, venue, theatre etc, with the understanding that they are ‘requests’ and not guarantees.

 Terms & Conditions

RESERVATIONS: To reserve space on a tour, please contact our office directly. 

RATES: All prices are shown in Canadian Dollars & include applicable taxes. Tour rates are calculated according to transportation fares, meal costs, attraction rates and accommodation rates. Although efforts are made to maintain the tour rates as published, we reserve the right to adjust prices should this become necessary. 

DEPOSITS & PAYMENTS: Full payment is required upon booking day trips. A deposit of $200.00 per person is required within 7 days of booking overnight tours. The balance is usually due 45 days prior to departure. Reservations received less than 45 days prior to departure, require full payment within 48 hours of booking. We accept payment in the form of cheque, e-transfer, MasterCard, Visa or cash. Cheques to be made payable to Fields Trips. 

CANCELLATION CHARGES: (for motor coach tours only, tours with flights and cruises are subject to higher penalties)  45 days or more prior to departure (full refund) 31-44 days prior to ($200 charge per/person)  30 days or less prior to departure (No refund) Daytrips are NON-REFUNDABLE, but name changes are permitted INSURANCE: We strongly recommend the purchase of Trip Cancellation & Interruption Insurance, Medical Insurance, or All Inclusive Plans. Ask for details when making your reservation. 

IDENTIFICATION: Canadian Citizens must carry proof of citizenship in the form of a valid passport for tours leaving Canada. Citizens of other countries or landed immigrants must inquire as to the requirements for entry into the tour country. Customers denied entry into foreign countries may also incur cancellation charges. 

PHYSICALLY CHALLENGED PASSENGERS: Persons requiring special assistance must be accompanied by a companion to care for their needs. Some tours may present difficulties for those physically challenged. 

SURCHARGES & OTHER CHARGES: Although it is not anticipated, prices are subject to change if there is a significant change in the status of the Canadian dollar or in the event of an increase of energy prices. Tours are subject to surcharge until 45 days prior to departure. Tour members will be advised of any surcharge on their tour at this time. If a rate increase of more than 7% is necessary, clients may cancel with no penalties. Any changes made to original bookings are subject to $25.00 administration fee.

SEATING: There are NO reserved seats on motor coaches.

ACCOMMODATIONS: All hotels have been confirmed at the time of printing but are subject to change. TWIN price refers to two persons sharing 1 room with 2 beds; however, in some hotels, only 1 double bed may be available, specify at time of booking if you wish two separate beds. TRIPLE or QUAD price refers to three or four persons sharing one room with two double beds. 

TRANSPORTATION: The motor coaches used on our tours are from carefully selected companies. Smoking is not permitted on motor coaches. Frequent stops will be made. We CAN NOT transport marijuana or cannabis on the motor coach, even within Ontario or Canada.

TOUR DOCUMENTS: Documents are sent to tour members 2-3 weeks prior to departure. 

PUBLICATION ERRORS: Although great care is taken in the production of flyers, typographical, illustrative, or pricing errors may occur. We reserve the right to correct any errors. 

RESPONSIBILITY: Fields Trips acts solely as organizer of the tours outlined on this flyer, and is responsible for making all reservations and charting the routes as outlined but it is expressly understood and agreed between the tour organizer and the passengers that Fields Trips or its consultants shall not be held responsible for: 

a. non-performance on the part of any hotel or other accommodation for any act or omission that cannot be directly attributed to the neglect of the tour organizer;

b. any delays, misconnection, loss, damage or injury to persons, property or for mechanical defects or failure, however caused or for any substitution of hotels or carrier equipment beyond the control of the Tour operator, or for any additional expenses occasioned thereby;

c. any inconvenience, loss of enjoyment, upset, disappointment, distress or frustration whether physical or mental however caused, except where caused directly by the tour operator;

d. Any additional costs incurred, or any ancillary loss sustained as a result of cancellations or delays of tours caused by inclement weather conditions, acts of God, or any other event, which result in one or more persons being unable to continue or complete the tour through no direct fault of the tour organizer. 

The Tour Organizer reserves the right to make any changes before or during the tour for the comfort and enjoyment of the passengers and it is agreed and understood that any increase in costs occasioned by such change shall be paid by the passengers or any decrease in costs occasioned by the change shall be refunded to the passenger.  All tour itineraries are subject to change or cancellation without prior notice.  Fields Trips shall have no responsibility beyond their refund of all monies paid by the passenger which is deemed to constitute full settlement.  The tour organizer reserves the right to decline any person as a member of the tour at any time before or during the tour should such person’s presence be considered detrimental to the interest, comfort and enjoyment of the other tour members. Persons leaving the tour during operation will not receive a refund of unused services.  Fields Trips, its consultants and all passengers agree that the conditions set out herein are part of the terms between the passenger and the tour organizer. Acceptance of the ticket for the tour or any deposit given to the tour organizer will represent an acceptance by the passenger of all the aforementioned conditions.
